GST merchant mobile lookup is a different exercise from finding an office line, because many merchants in India are run by one or two people whose mobile phone is the business. There is no switchboard, no accounts department and no receptionist. The mobile number printed on a visiting card or saved in a delivery app is the entire contact infrastructure. This article looks at what that means for anyone trying to reach such a merchant from a GSTIN, and how to do it without being a nuisance.
The tone of this guide is deliberately cautious. A mobile number is more personal than a landline, and the process around it should show that.
A sole proprietor who sells garments through an online storefront, takes orders on a messaging app and ships through a courier is the typical case. Their registered name is the proprietor’s own, the trade name is the storefront brand, and the number that reaches them is a personal SIM. Searching for a mobile for this merchant means searching for a person.
This is why reviewers should slow down. The GSTIN tells you the entity is real and active. It does not tell you that the person who picks up at a given number is authorised to discuss payments, returns or tax invoices on the entity’s behalf. The first call has to establish that, not assume it.
The public GST search does not list telephone numbers. A mobile lookup service matches a GSTIN to numbers collected from commercial sources, and the match depends on what exists. Some merchants have a well-corroborated mobile across several sources. Others have none, or only an old number that has since been reassigned.
Be honest about this in your process. A lookup that finds nothing has told you something useful, which is that you should write to the registered address or use the email on the invoice. A lookup that finds a number gives you a candidate to confirm, not a conclusion.
Mobile numbers change hands. A proprietor switches operator, drops a second SIM, or stops paying for a number that is later issued to a stranger. If a call reaches someone who knows nothing about the merchant, you may have hit a recycled number, and the right response is a courteous apology and a note against that number.
Never argue or insist that the person must know the merchant. Marking the number as invalid for that GSTIN keeps the next searcher from repeating the call and keeps a stranger from receiving repeated queries about a business they have never heard of.

Many small merchants prefer a text message to a call, and some never answer unknown numbers at all. A short, plain message that names your organisation, the invoice or order reference and the specific request is more likely to get a reply than three missed calls. Avoid attaching documents or links in a first message, because a careful merchant will not open files from an unknown sender.
Keep the message transactional. Say who you are, what you need and how they can verify you, for instance by replying to the email address on the invoice. This respects their caution and gives you a written trail.
Picture a buyer’s accounts team that has received a returned consignment from a small home-furnishings merchant. The credit note is overdue, the merchant’s email goes unanswered, and the GSTIN on the invoice shows an active regular taxpayer in another state. The team runs a merchant mobile lookup and receives one candidate number.
The sensible move is not to call and demand the refund. It is to send a brief message naming the return reference, wait a reasonable interval, and then place one call to confirm the entity and ask who handles credit notes. If the number turns out to belong to the proprietor’s spouse who helps with packing, that is still useful, because they can pass on the right contact. Each step is small, polite and recorded.
People share phones in family businesses, and one mobile may serve a shop, a home and a side venture. A lookup that surfaces a number for a merchant name might be surfacing the number of a different business run by the same family, or of a cousin with a similar surname. Name similarity alone proves little.
For that reason, give more weight to matches that also agree on city and on the kind of goods sold, and less weight to matches that agree only on a common surname. When in doubt, treat the result as a lead and let the first conversation decide.
When someone answers, confirm the legal name and the final four characters of the GSTIN before discussing amounts. Ask whether they are the proprietor or a staff member, and if the latter, whether they handle accounts. A shop assistant who sets up orders may not be the person who can agree a credit note.
If the person is not authorised, ask for the best time to reach someone who is, and record it. Do not pressure a junior employee to commit the business to anything. That protects them and also avoids disputes about what was actually agreed.
A proprietorship has no separate legal existence from its owner, so the registered name is a person’s name and the mobile number is very likely personal. This raises the standard of care. Use the number only for the transaction that prompted the lookup. Do not add it to marketing lists, do not share it with colleagues who have no reason to see it, and honour any request to be contacted another way.
This is the one place where the guidance on responsible use matters most. Relevant purpose, plain identification and prompt respect for opt-outs are not formalities when the person at the other end is an individual running a small trade.

The fifteen-character GSTIN begins with a two-digit state code, followed by the ten-character PAN of the taxpayer, an entity number, the letter Z and a checksum. The fourth character of the PAN hints at the type of taxpayer, for instance an individual or a company. That is a quick way to anticipate whether a mobile is likely to be a person’s own phone or an authorised signatory’s.
Use this as a hint, never as proof, and let the legal name and constitution shown on the public record settle the question.
A partnership firm or private company often lists the mobile of a partner or director, which may or may not be the person who handles day-to-day accounts. When the constitution of business on the GST record is a company, expect the number to reach an authorised signatory or a manager, and ask for the accounts desk if your query is about invoices.
If the registered person has changed, for example after a transfer of business, the old mobile may belong to someone no longer involved. Compare the date on any contact record with the date of the latest invoice you hold.
Record the number, the date of confirmation, the person who answered, their stated role and the purpose. Store it in the relationship record, separate from the statutory fields of name, GSTIN, state and registration status. If the number later fails, you will know whether it ever worked.
Tag unconfirmed numbers clearly. A field that merges confirmed and merely plausible mobiles gives later users false confidence, and it tends to surface at the worst moment, such as when a payment must be released urgently.
If calls go unanswered, messages are ignored and the number is not confirmed, move on in an orderly way. Write to the registered address of the principal place of business, use the email on the invoice, and where the amount justifies it, ask the merchant’s courier or transporter for the pickup contact shown on the e-way bill documents.
You can request sample data from the contact page to see how mobile matches appear for a few of your own merchants, and then decide how much confirmation your team needs before relying on them.
