What to include in your message

The quality of the answer you get back depends almost entirely on how specific the question is. A message saying you need GST data can only be answered with a question, which costs both of us a day. A message describing the segment, the volume and what you intend to do with it can usually be answered with a sample and a quote.

If you already have GST numbers, paste five to ten of them straight into the details box. That is the single most useful thing you can send, because it lets us return real output instead of describing it.

If you do not have a list yet

Describe the businesses you want to reach instead. The more of these you can answer, the faster the quote:

  • Where? One state, several states, specific cities or districts, or national.
  • What kind of business? The industry or sector, and if possible what they would be buying from you.
  • What size? Constitution of business is a useful proxy – proprietorships and small partnerships behave very differently from private limited companies.
  • How many rows? An approximate number is fine. It changes the unit price.
  • What will you do with it? Calling, emailing, field visits or database enrichment. This affects which fields actually matter to you.

What happens next

  1. We read your message and, if anything is ambiguous, ask one round of questions rather than several.
  2. We tell you honestly what coverage looks like for that segment, including where it is likely to be thin.
  3. You get a free sample on your own GST numbers, or on a small slice of the segment if you do not have numbers yet.
  4. If the sample works, we issue a written quote against the agreed scope.

Things we will tell you rather than sell you

If your requirement is a single lookup, we will point you at the official GST portal, which is free. If the segment you want is one where registration records carry thin contact coverage, we will say so before you order rather than after. And if what you are describing sounds like unsolicited bulk messaging, we will decline the work.

If you are a business asking about your own record

You do not need to go through the sales process. Send us the GSTIN concerned and tell us what you are asking for – a copy of what we hold, a correction, or removal – and we will deal with it directly. There is no charge for this and you will not be added to any marketing list as a result of asking.

One clarification worth stating up front: GST registration information originates from filings made by the business itself. If the underlying filed data is wrong, the source record is corrected through the official GST portal rather than by us. We can act on what we hold and supply; we cannot amend a government filing on your behalf.

If you are evaluating several vendors

Send the same five GST numbers to all of them and compare what comes back. Include at least one business you know has closed, and one whose registered legal name differs from its trading name. The differences between providers show up immediately on those two rows, and the exercise costs you nothing but the time it takes to write one email.

If you are a researcher or journalist

We are happy to explain how GST registration data works, what it does and does not contain, and where the limits of this kind of data sit. Say that is what you are asking about and it will not be treated as a sales enquiry.

What we cannot help with

  • Filing GST returns, registering for GST or amending an existing registration.
  • Tax disputes, notices, refunds or anything requiring a tax professional.
  • Consumer or personal contact data of any kind.
  • Tracing individuals rather than registered businesses.
  • Verifying a GSTIN for free at single-number scale – the official GST portal already does that and you should use it.

Writing a brief that gets a fast answer

The single most common reason an enquiry takes several days to answer is that it describes a want rather than a specification. Nearly every question we have to ask in reply falls into one of four categories, so answering them in the first message removes an entire round trip.

  1. Geography. Name the states, cities or districts. National is a valid answer, but say so explicitly rather than leaving it open.
  2. Business type. Describe what the business does, and ideally what they would be buying from you. This is more useful than an industry label on its own.
  3. Scale. An approximate row count. It changes the unit price and it changes what we recommend.
  4. Use. Calling, emailing, field visits or database enrichment. This decides which fields actually matter and whether a smaller, tighter file would serve you better.

What a reply from us looks like

You should expect a direct answer rather than a brochure. If your brief is clear, the reply will tell you what coverage looks like for that segment – including where it is likely to be thin – and either return a sample or ask for GST numbers to run one against. If we think a smaller or differently shaped file would serve you better, we will say so, even where that means a smaller order.

You will not be added to a mailing list for asking a question, you will not receive a sequence of follow-up messages, and nobody will call you unless you ask them to.

Response times, honestly stated

We are a small team, which cuts both ways. You will not be routed through a call centre or handed between account managers, and the person replying will be someone who understands the data. But we are not a twenty-four-hour operation, and an enquiry arriving at the weekend will be answered on a working day.

Complex bulk quotes take a little longer than simple ones, because we size the job before pricing it rather than quoting a number and adjusting later. If something is genuinely urgent, say so in the subject line and tell us the deadline you are working to.

Confidentiality

Enquiries are treated as confidential by default. We do not discuss who our customers are, we do not use customer names as references without written permission, and the segment you ask about is not shared with anyone else. If your requirement is commercially sensitive and you would like that stated formally before you describe it, ask and we will confirm it in writing first.

Before you send a large file

If you are about to email a spreadsheet with tens of thousands of rows, send a short message first describing what is in it and what you want appended. It takes a minute and it avoids the common situation where a large attachment arrives with no instructions, sits in a queue while we work out what was wanted, and costs a day that neither side needed to spend.

Tell us which column holds the GSTIN, whether the file has a header row, and which of your existing columns must not be altered. With those three answers we can usually begin immediately.

And if you are simply not sure whether this service fits what you are trying to do, say that plainly. We would rather spend ten minutes telling you it is not a fit than take an order that was never going to work for you.
