GST company leads with contact details often arrive as a thin record: a company name, a state, a status and perhaps one phone number or email address. That is enough to know the company exists. It is not enough to know whom to speak to, what to say, or whether the detail you hold is still current. Enrichment is the work that closes that gap.

This post looks at which additional fields genuinely change the outcome of outreach, how to date every piece of information you collect, and how to tell a decision-maker from a generic contact without guessing.

Why a thin record wastes a salesperson's time

Imagine handing a representative a sheet with a company name and a single general number. They call, reach a receptionist, and are asked who they want to speak to and about what. They have no name, no department and no reason that makes sense to the person on the line. The call ends politely and goes nowhere.

Multiply that by hundreds of rows and you have a team that is busy but ineffective. The cost is not only lost time. Each fruitless call spends a little of the company’s goodwill. Enrichment moves the effort earlier, so that by the time someone dials or writes, they already know who they are trying to reach and why that person might care.

There is a morale cost too. People who make call after call without a conversation start to blame the product, the script or themselves, when the real problem sits in the data. A well-enriched list restores a sense that effort leads somewhere, which is a quiet but real advantage over weeks of work.

Role and department are the first fields worth adding

If you can only add one thing, add the function responsible for the decision you care about. A supplier of packaging materials wants purchasing or operations. A provider of accounting software wants finance. A recruiter wants human resources. A contact attached to the correct function is worth many times more than a name attached to the wrong one.

Seniority matters as well, but in a particular way. The most senior person is not always the best first contact. In many companies a manager in the relevant department holds the real influence over a purchase and can introduce you upward. Capture both the function and an approximate level, and keep them as separate fields so you can filter on either.

Location fields turn a company into several workable targets

A company’s registered location may differ from where it buys, sells or operates. Larger firms keep head offices in one city and run plants, warehouses or sales offices elsewhere. For a field team or a regional distributor, the operating location is what counts.

Add fields for the city or district you actually care about, and mark whether it was taken from the registration or found elsewhere. This separation prevents a common error, which is assuming that the registered state describes where work happens. It also helps you assign the lead to the right regional owner within your own organisation, so two people do not approach the same company in different places without knowing.

Where a company has several sites, consider keeping one parent record and several location records beneath it. That structure lets you see the whole relationship at a glance, avoids duplicate approaches, and lets a conversation at one site support an introduction at another. It takes a little design at the start and saves a good deal of confusion later.

Every enriched field needs a date and a source

Information decays, and the rate varies by field. People change jobs, departments reorganise, numbers get replaced and email addresses are retired. A field that was right when collected can be wrong by the time you use it, and without a date you cannot tell the difference.

For each enriched field, store where it came from and when. A role confirmed through a recent conversation is stronger than one found on an old page. With dates in place you can make sensible rules, such as rechecking anything older than your agreed limit before a major campaign. This also gives you honest answers when someone asks how reliable the data really is.

Telling a decision-maker from a generic contact

A generic contact is a shared route into a company: a main line, an enquiry mailbox, a front desk. A decision-maker is a person who can say yes. Both are useful, but they do different jobs, and mixing them up distorts your results.

The distinction matters for forecasting as well. If your pipeline report counts a company as warm because someone answered a general line, you will overestimate your prospects and be surprised when nothing closes. Labelling contact roles honestly keeps the numbers grounded and helps managers decide where more research is truly needed.

A practical way to separate them is to label each contact by what it can do. A generic contact can route you and confirm basic facts. A named person in the relevant function can evaluate your offer. A person with budget authority can approve it. Tag each row with one of these roles so reports tell you how many of your leads have a real path to a decision, rather than counting every phone number as equal.

Using the generic route well when no named person exists

Often you will have only the generic route, and that is fine if you use it with intent. A short, clear request works best: state who you are, name the function you hope to reach, and ask for the right person or the right way to submit a proposal. Reception staff and shared mailboxes handle this kind of request all day.

Record the answer carefully. If a receptionist gives you a name and a department, that single reply upgrades the lead from generic to named. If you are told that proposals go through a formal vendor process, note that, because pushing against it will only slow you down. Treat the generic route as a research step, not a failure.

It also helps to thank the person who helped you, and to avoid asking them for more than they can reasonably give. Front-desk staff are not obliged to share personal details of colleagues, and pressing them puts them in an uncomfortable position. A courteous exchange often earns a better answer than a persistent one, and it keeps the door open for the next attempt.

Check the company's current standing before investing effort

Enrichment is wasted if the company is no longer operating in the way the record implies. Registration status is the first thing to review, because a company whose registration has been cancelled or suspended may not be trading normally. Public company information and the business’s own communications can add context about whether it is still active.

Do this check before you spend time finding people. It is far cheaper to drop a dormant lead at the start than to enrich it fully and discover the problem during the first call. Keep the status and the date you checked it as fields of their own.

Respect privacy when collecting personal details

Once you start attaching names, roles and direct lines to a company, you are handling information about individuals. That brings responsibility. Collect only what you need for a legitimate business approach, use information that people have made available for professional contact, and avoid anything that feels like intrusion into private life.

Store this data securely, limit access to the people who need it, and delete details when they are no longer needed or when someone asks. A person who receives a relevant, courteous message at their work address will usually accept it. A person who finds their private number in a stranger’s list will not, and rightly so.

A short checklist of fields that earn their place

Pulling it together, the fields that consistently pay for themselves are function, level, operating location, contact type, source, date collected, and current status. Anything beyond that should justify itself by changing how you approach the company. Extra columns that nobody reads make the list heavier without making it better.

Review your fields periodically and drop the ones that do not influence a decision. A lean, well-dated, well-labelled record beats a sprawling one every time, because people trust it, keep it up to date and actually use it when it is time to reach out.

One test is to ask, for each field, what a salesperson would do differently if the value were missing. If the answer is nothing, the field is clutter. If the answer is that they would not know whom to call or what to say, the field has earned its column and deserves the effort of keeping it accurate.
