Locate phone number by GSTIN becomes a puzzle when the business on the other side runs operations in many states. A national supplier may hold a dozen or more registrations, each with its own state code, its own billing team and often its own phone lines. When an invoice arrives with a tax error, a missing e-way bill or the wrong place of supply, the fix has to come from the specific state office that issued it. Calling the national helpline or the head office usually leads to a long chain of transfers. This guide explains how to locate the phone for the right state registration and why it matters so much for tax-related queries.

Why each state registration is its own world

Under GST, a business that supplies from several states must register separately in each. Each registration files its own returns, issues its own invoices and is administered by that state’s tax authorities. Inside the company, this usually means a separate accounts or billing team for each state, or at least for each region, working with that registration’s books.

So an invoice raised under the Telangana GSTIN is the responsibility of whoever handles Telangana billing. The Mumbai head office may not even have access to that registration’s invoicing system.

Reading which registration you are dealing with

Start with the supplier GSTIN printed on the invoice or document in question. The first two digits tell you the state: 36 for Telangana, 24 for Gujarat, 06 for Haryana and so on. The embedded PAN in characters three to twelve identifies the legal entity, which will be the same across all the supplier’s state registrations.

Look up the GSTIN to see every address the supplier has declared within that state, main and secondary. That address is where the relevant team, warehouse or branch office sits.

Common problems that need the issuing state office

Several tax problems can only be fixed by the office that issued the invoice. The supplier may have charged integrated tax when central and state tax applied, or the reverse, because the place of supply was misjudged. The invoice may carry your GSTIN for the wrong state, which affects which of your registrations can claim the credit. The invoice may be missing from the supplier’s returns for that state. An e-way bill may have been generated with errors. A credit note may be needed to correct a price.

In each case, the fix involves a credit note, an amended return or a reissued document from the supplier’s registration in that state. Only the people working on that registration can do it.

Finding phones for a specific state office

The tax record does not show phones; registration contacts are private. Look instead at the documents you received from that registration: invoice headers often carry the branch’s phone and email. The supplier’s website may list branch or regional offices by state with their contacts. Your own purchase team may have a regional sales contact who can connect you to billing.

Match each phone to its state by checking the address and, for landlines, the area code. A landline with the Hyderabad code fits a Telangana registration; a Pune landline does not.

Using the head office wisely

Sometimes the head office is the only route available. If so, call with precise information: the supplier’s legal name, the state registration’s GSTIN, the invoice number and date, and the nature of the problem. Ask specifically for the billing or accounts contact for that state registration.

Larger companies often have shared service centres that handle billing for all states from one location. If that is the case, the head office can direct you there, and the shared service centre will want the state GSTIN to pull up the right records.

Your own registrations matter too

Problems often involve both sides’ registrations. If your business also operates in several states, an invoice addressed to the wrong one of your GSTINs means the credit lands in the wrong place. Before calling the supplier, confirm which of your registrations should have been billed, based on where the goods were delivered or the services received.

Give the supplier both GSTINs clearly: their issuing registration and the registration of yours that should appear on the corrected invoice. This avoids a corrected invoice that is still wrong.

Place of supply errors and why they happen

The place of supply determines whether a transaction is inter-state, attracting integrated tax, or intra-state, attracting central and state tax. Errors arise when goods are billed from one state but delivered to another, when services are provided at a location different from the recipient’s registered address, or when bill-to and ship-to parties differ.

When you call the supplier’s state office, explain the delivery or service location clearly and what you believe the correct place of supply is. Their billing team can then decide whether to issue a credit note and a fresh invoice.

E-way bill and logistics problems

E-way bill errors, such as a wrong vehicle number, an incorrect recipient GSTIN or a missing bill for a consignment, need fixing by whoever generated the bill, usually the supplier’s dispatch or logistics team at the dispatching location. The phone for that team is often different from the billing phone.

When locating phones, look for dispatch contacts on delivery challans and transport documents from that state location. Record them separately from billing contacts.

Input service distributors and head office invoices

Some large companies register an input service distributor at head office to pass on credit for common services, such as advertising or software, to their state registrations. Invoices or distribution documents issued from that registration follow their own rules and are handled by a central finance team rather than state billing teams. If a query concerns such a document, the head office finance team is the right contact, and the state offices will not be able to help.

Recognising which kind of document you hold, an ordinary tax invoice from a state registration or a distribution document from a central one, saves you calling the wrong office.

Services billed from a different state than delivered

Service providers often bill from their head office registration while delivering services elsewhere, such as maintenance at your factory in another state. Place of supply rules for services can be complex, and errors are common. The billing office, identified by the state code on the invoice, is the one to call, but the service delivery team at your site may have useful context. Gather both before the call so the billing team understands where and how the service was delivered.

When the supplier has closed a state registration

A supplier may close a state operation and cancel that registration while continuing elsewhere. Invoices for supplies made before the cancellation remain valid, but the people who handled them may have moved or left. The supplier’s regional or head office will usually have taken over residual billing. Call them with the cancelled GSTIN and the invoice details, and ask who now handles corrections for that registration.

Building a state-wise contact directory

If you deal with large multi-state suppliers regularly, build a directory for each: one row per supplier GSTIN, with state, address, billing contact phone and email, dispatch contact and regional sales contact. Link the rows by the supplier’s PAN so you can see the whole entity at a glance.

Over time, this directory saves a great deal of time. Instead of navigating the head office each month, your accounts team calls the right state office directly.

Keeping the directory current

Multi-state suppliers reorganise. They centralise billing into shared service centres, open new state registrations, close others and change regional teams. Review the directory at least annually and whenever calls start bouncing. Check GST status for each supplier registration; a cancelled state registration means invoices from that state should stop, and any new invoices carrying it need investigation.

Why this matters for your input credit

Input credit depends on suppliers reporting invoices correctly under the right registrations, with the right tax type and your correct GSTIN. Every month, reconciliation reveals mismatches that need supplier action. The speed at which you resolve them depends largely on whether you can reach the right state office quickly. A well-kept state-wise directory directly improves your credit recovery and reduces working capital tied up in disputed credit.

Courtesy and data care

Contacts at supplier branches, especially mobiles of individual staff, are personal data. Use them for the business purpose they relate to, store them securely and update them when people move. Be patient on calls; state billing teams often handle large volumes, and a clear, well-prepared request gets resolved faster than an impatient one.

A worked example from a retail chain

A retail chain with stores in six states receives invoices from a national consumer goods supplier that holds registrations in each of those states. Several invoices for deliveries to Karnataka stores were raised under the supplier’s Tamil Nadu registration with integrated tax, while the chain’s Karnataka GSTIN appears correctly. The chain’s accounts team first calls the supplier’s head office and is transferred three times.

They then look at the invoices, read the Tamil Nadu state code, and find a Chennai landline and billing email in the invoice header. The Chennai billing team confirms that the goods were dispatched from their warehouse, explains that the supply was correctly inter-state, and resolves a separate error in the place of supply on two invoices with credit notes. The chain adds the Chennai billing contact to its state-wise directory and, over the following months, collects billing contacts for each of the supplier’s registrations.
