Company contact by GSTIN gets complicated the moment a company operates in more than one state. GST registration is state-wise, so a company with a plant in one state, depots in three others and a head office in a fifth will hold several GSTINs, all sharing the same PAN. Each registration has its own address and its own people. If you contact the wrong one, your query about a delivery in one city lands on the desk of an accountant in another, and nothing happens.
This guide explains how to see the whole family of registrations behind one company, how to recognise special registrations such as input service distributors, and how to decide which location owns your matter so that your call or email reaches someone who can act on it.
GST law requires a business to register in each state or union territory from which it makes taxable supplies. A company that ships goods from warehouses in four states therefore holds four registrations. Within a state, a company may also hold more than one registration, for example for separate business verticals, which shows up in the thirteenth character of the GSTIN, the entity number.
Each registration lists its own principal place of business and any additional places of business in that state. The people who handle that registration, such as the local accounts or logistics team, usually sit at those addresses.

Start with the GSTIN you have. Characters three to twelve are the company’s PAN. On the official GST portal, the search by PAN lists every GSTIN linked to that PAN, with each registration’s state and status. That single search gives you a map of the company’s GST footprint.
Open each relevant GSTIN to see its address and activities. Some will be manufacturing plants, some warehouses or depots, some sales offices, and one may be the head office. Note which locations are active; companies sometimes keep old registrations that have since been cancelled.
Some registrations exist for internal purposes. An input service distributor registration, often shown as a separate taxpayer type, is used by a company to distribute credit for common services, such as head office expenses, across its other registrations. It does not usually deal with customers or suppliers of goods, and it is rarely the right contact for a commercial matter.
Similarly, a company may hold a registration as a tax deductor or collector in some situations. These registrations exist for compliance, and their contacts are typically finance or tax teams. Know which kind of registration you are looking at before you decide whom to contact.

Ask what your matter is about. If it concerns an invoice you issued, the right registration is the one whose GSTIN appears on the invoice as the buyer, because that registration claims the credit and makes the payment. If it concerns a delivery, the right registration is the one at the delivery or dispatch address. If it concerns a contract, pricing or a new business relationship, the head office or the commercial team usually decides, even if the goods move through a different state.
Matching the matter to the registration avoids the most common frustration in dealing with large companies: being told politely that the query belongs to another location and having to start again.

Once you know the right registration, look for the contact attached to that location. The company’s website often lists plants, branches and regional offices with addresses and phone numbers, which you can match to the GST addresses. Your own records may hold numbers from past dealings with that location. A business contact data source matched to the specific GSTIN, rather than to the company as a whole, can also return location-level numbers.
If none of these works, call the head office and ask to be connected to the accounts or logistics team for the location concerned, quoting its GSTIN and address. Head office switchboards deal with such requests routinely.
In your own records, store contacts against the GSTIN they belong to, and keep the PAN in a separate column so the whole company can be seen at once. Mark one registration as the head office and record the commercial contacts there. Record operational contacts, such as accounts payable and stores, against each location’s GSTIN.
This structure stops a common error: a contact for one branch being used for the whole company, or a head office contact being bothered with every branch’s delivery query.

Contact problems often begin with invoicing problems. If you bill the wrong GSTIN, the payment queries will go to the wrong team and the buyer may not be able to claim credit. Confirm with your customer which registration should appear on each invoice, usually the one in the state where the goods or services are received, and keep that decision in your records.
Companies open and close registrations as they expand or consolidate. A search by PAN once in a while shows new locations you could serve, and cancelled ones you should stop invoicing or contacting. It is a small habit that keeps both your contacts and your invoices accurate.
