Company contact by GST number becomes much easier once you realise that a company has two public footprints, not one. The GST registration describes its tax identity in each state. The corporate registry, maintained under the Ministry of Corporate Affairs, describes its legal identity as a company or LLP. The GST record does not show any contact details, but the corporate record shows the registered office address and an official email address filed by the company, along with its directors. Linking the two is the most reliable way to reach a company you know only by its GSTIN.

This guide explains how to build that bridge: what each registry contains, how to move from a GSTIN to the company’s corporate identification number, what contact details you will find on the other side, and how to use them properly. It applies to private and public limited companies and to LLPs, which together make up most of the larger GST registrants.

Quick answer

  • The GST record gives the legal name and, through characters three to twelve, the PAN.
  • The legal name leads you to the company’s record in the corporate registry.
  • The corporate record shows the registered office and an official email address.
  • Directors or designated partners are listed by name.
  • Official emails often reach compliance or accounts staff, so write a clear, formal message.

Two Registries, Two Kinds of Information

The GST registry is organised by state. Each registration shows the legal name, trade name, constitution, taxpayer type, places of business in that state, nature of activities, status and filing history. It is excellent for confirming that a business is registered and active, but it deliberately keeps phone numbers and emails private.

The corporate registry is organised by company. Each company has one corporate identification number, known as the CIN, and LLPs have an LLP identification number. The public master data for each entity shows its name, status, date of incorporation, class and category, registered office address, the email address on record and the list of directors or designated partners. That email address is what makes the corporate record so useful for contact.

How to reach a company contact by GST number through the corporate registry.

Step One: Confirm It Is a Company

Search the GSTIN on the public taxpayer search and look at the constitution of business. If it says private limited company, public limited company or limited liability partnership, the corporate registry will hold a record. If it says proprietorship, partnership firm, trust or society, it will not, and you need a different route.

Note the legal name exactly as shown. For companies, the legal name in the GST record is the registered company name, including words such as Private Limited or LLP, and you will use it to search the corporate registry.

Key pointOnly companies and LLPs appear in the corporate registry. Check the constitution in the GST record before you start searching there.

Step Two: Find the CIN

On the official corporate affairs portal, use the master data search to look up the company by name. Several companies may have similar names, so compare the results carefully: the registered office state should usually match a state where the company holds a GST registration, and the company should be active.

The PAN in characters three to twelve of the GSTIN is a further check. You will not usually see the PAN on the master data page, but if you hold other documents from the company, such as an invoice or a certificate, the PAN printed there should match. Once you are sure you have the right company, note its CIN. That number is your permanent reference for the company in the corporate registry.

Step Three: Read the Master Data

The master data page gives you several useful items. The registered office address is the official address for legal correspondence. It may be the same as the principal place of business in the GST record, or it may be an administrative office, a promoter’s address or a professional’s office used for filings.

The email address on record is the one the company has filed with the registry. In some companies it reaches a director or the accounts team directly; in others it reaches the company secretary, an outsourced compliance professional or a shared mailbox. Either way, it is an official channel that the company is expected to monitor.

The list of directors, with their designations and appointment dates, tells you who is legally responsible for the company. For small private companies, the directors are often the owners and the real decision makers.

PeopleDirectorsWho is legally responsible, and often who decides in small firms.

Step Four: Combine With the GST Picture

Now bring both records together. The GST registrations show where the company operates and from where it ships goods or provides services. The corporate record shows its legal home, official email and leadership. A company may have its registered office in one city and its factory registered for GST in another state entirely.

Decide which contact suits your purpose. Legal or formal correspondence suits the registered office and the official email. Operational matters such as orders, dispatch or invoices usually belong with the place of business shown in the relevant GST registration.

Writing to the Official Email

Because the registry email often reaches someone who handles compliance rather than sales or purchasing, your message should be clear about who you are and what you need. Mention the company’s legal name and the GSTIN the matter relates to, state the purpose in the first two lines, and ask to be directed to the right department or person. Attach supporting documents only when necessary.

Formal, specific messages tend to be forwarded internally. Vague sales pitches sent to a compliance mailbox tend to be ignored, and sending many of them can harm your reputation with the company.

Limits of the Corporate Record

The email on record may be out of date if the company has not updated its filings, and some companies use a professional’s address that forwards mail slowly. The registry does not publish a general telephone number for most companies. Directors’ personal contact details are not shown publicly, and should not be sought from unofficial sources for unsolicited approaches.

For a phone number, combine the corporate record with the company’s own website, which often lists offices and departments, or with a business contact data source matched to the GSTIN and the CIN.

When the Company Does Not Respond

If an official email goes unanswered and the matter is important, follow up with a letter to the registered office, which companies are expected to receive. For commercial matters, try the place of business in the GST registration and its local contacts. For disputes, a professional adviser can guide you on formal notices, which the registered office address exists to receive.
