Get contact by GST number is often the first step for a small supplier whose invoice is overdue. The buyer’s purchase manager stops answering, the accounts team says the bill is “in process”, and weeks become months. For micro and small enterprises, the law offers real support: agreed payment limits, interest on late payment and a facilitation council that hears complaints. But each step works best when you have reached the right people at the buyer and kept a record of doing so.
This guide covers how to find the right contacts at a buyer from its GSTIN, how to chase politely and firmly, and when to use the formal MSME delayed-payment route.
Purchase staff place orders; accounts payable releases money. Ask your purchase contact who handles payments, and get that person’s name, phone and email. For larger buyers, the vendor support desk or the finance team’s general line may be listed on their website. For companies, the corporate registry names directors, useful if you need to escalate.

Search the buyer’s GSTIN to confirm the exact legal name, the principal place of business and the status. Formal reminders and any later application must name the legal entity correctly and use its registered address. If the buyer has several GSTINs, use the one on your invoice.
Under the law for micro, small and medium enterprises, a buyer must pay a micro or small supplier by the agreed date, and the agreed period cannot exceed forty-five days from acceptance. Without an agreement, payment is due within fifteen days. Late payment attracts compound interest at three times the bank rate notified by the central bank. Since recent changes to income tax rules, buyers may also lose the deduction for such payments if they are made late, which gives them a clear reason to pay on time.

Start with a call to the accounts contact, quoting invoice numbers, dates and amounts. Follow up by email the same day, summarising what was said. If nothing moves, send a formal reminder to the legal name at the registered address, mentioning the payment terms, your status as a registered micro or small enterprise, and the interest that applies. Keep each communication courteous; many delays are internal process problems the buyer’s own staff are also chasing.

If reminders fail, a supplier with a Udyam registration as a micro or small enterprise can file an application on the government’s delayed-payment portal. The application goes to the Micro and Small Enterprises Facilitation Council of the state, which can call the parties for conciliation and, if that fails, arbitrate. The buyer is notified, which often prompts payment.
Collect the purchase order, invoices, delivery challans or proof of service, acceptance records, e-way bills where relevant, your Udyam certificate, statements of account, and your log of every call, email and letter with dates. A clear file shortens every stage.

Prevention is easier than recovery. Put payment terms on every quotation and invoice, state that you are a registered micro or small enterprise, and collect the accounts payable contact when you take the first order rather than when the first bill is late. Check a new buyer’s GST status and filing record before extending credit.
A buyer who pays late is not always a bad customer. Where the relationship matters, give notice before filing, offer a short final period, and agree revised terms in writing for future orders. Where it does not, the formal route protects your cash flow.
