Check company contact from GST number is the first line of a credit check, not the whole of it. When a new company customer asks to buy on thirty or sixty days’ credit, the seller is effectively lending money. Before agreeing, a careful credit or accounts team wants to know three things: that the company is real and active, that the people asking for credit actually represent it, and that the company behaves like one that pays its bills. A GST number, used properly, helps answer all three.

This guide walks through a practical due-diligence routine for small and mid-sized sellers who do not have a dedicated credit department. It shows what to read in the GST record, how to verify the contact person and their authority, what other public records add, and how to turn the findings into a sensible opening credit limit.

Quick answer

  • Verify that the person asking for credit truly represents the company.
  • The GST return filing history is a useful signal of discipline and activity.
  • Company records add incorporation date, status and registered charges.
  • Trade references from the company’s other suppliers are worth a phone call.
  • Start with a modest limit and increase it as payments arrive on time.

Why Contact Verification Comes First

Credit fraud often begins with a real company and a fake contact. Someone obtains the GSTIN, name and address of a genuine business, opens an account with a new supplier in its name, buys on credit and has the goods delivered somewhere else. When the invoice falls due, the real company has never heard of the order. The supplier is left chasing a business that owes it nothing.

So before looking at whether the company is creditworthy, confirm that the person in front of you can commit the company at all. That means checking the contact details against independent sources and confirming the request with the company itself.

Step One: Confirm the Contact and Their Authority

Ask the applicant for their full name, designation, official email and direct phone number, along with the company’s GSTIN and a purchase order or credit application on letterhead. Then verify each piece independently. The email should use the company’s own domain, which you can confirm by finding the company’s website yourself. The phone number should either be the company’s published office number or be confirmed by a call to that office.

Call the office number you found independently and ask the accounts or purchase department to confirm that the applicant works there and is authorised to open supplier accounts. For larger companies, ask for the name of the person who approves supplier payments, because that person will matter when invoices fall due.

Key pointThe person who signs the credit application and the person who approves your payments are often different. Get both names and both numbers on day one.

Step Two: Read the GST Record

Run a public taxpayer search on the GSTIN. Check that the status is active, that the legal name matches the letterhead, and that the delivery address you have been given is one of the registered places of business. Note the date of registration: a very recent registration is not disqualifying, but it means the company has little history to judge.

The search also shows a return filing table that indicates whether periodic returns have been filed. A company that files regularly and on time is behaving like an organised business. Long gaps or a run of missed periods suggest cash or administrative trouble, and they deserve a direct question before credit is granted. A registration that was recently suspended or cancelled should stop the process until it is explained.

Step Three: Check Company Records

For a private or public limited company or an LLP, the corporate registry adds detail the GST record does not have. Characters three to twelve of the GSTIN give you the company’s PAN, and with the legal name you can look up the company’s master data on the official corporate affairs portal. That shows the corporate identification number, date of incorporation, registered office address, company status and the names of directors or designated partners.

The records also show whether charges have been registered against the company’s assets, which usually means secured borrowing from a bank or lender. Charges are normal for growing businesses, but a long list of recent charges, or a status other than active, is worth understanding before you add your own unsecured credit to the pile.

StopSuspended or cancelledNo credit until the status is explained and resolved.

Step Four: Ask for Trade References

Ask the applicant for two or three suppliers they currently buy from on credit, with contact names and numbers. Then check that those references are themselves real businesses with active GST registrations, and call them. Ask how long they have supplied the company, what credit terms they give and whether payments arrive on time.

Be alert to references that are hard to verify, that turn out to be related businesses sharing the same address or PAN, or whose phone numbers reach the applicant’s own colleagues. Genuine references are usually happy to give a brief, factual answer.

Step Five: Set an Opening Credit Limit

Combine what you have learned into a simple decision. A company with a verified contact, active registration, regular filing, clean company records and positive trade references can be offered standard terms with a modest opening limit. A company with gaps in any area can be offered shorter terms, a lower limit, part payment in advance, or cash on delivery until a track record is built.

Write the reasons down. When the account grows and someone asks why the limit was set where it was, the note will explain it, and it will remind you which checks to repeat at the next review.

Keeping the Account Under Review

Due diligence is not a one-time event. Recheck the GST status and filing history of credit customers at regular intervals and whenever payments start to slip. A registration that becomes suspended, or a filing record that suddenly develops gaps, is often an early sign of trouble that arrives before the first missed payment.

Keep the verified contact details current as well. People change roles and leave companies, and when a payment is late you need to reach the person who can approve it, not a former employee’s switched-off mobile.

When the Checks Raise Doubts

If the company cannot be verified, the contact’s authority cannot be confirmed, or the records show serious warning signs, decline credit politely and offer to trade on advance payment instead. A genuine company that wants your goods will usually accept, and you lose nothing. An impersonator or a company already in difficulty will often disappear, which tells you the checks did their job.
