Find contact details using GSTIN and you are really assembling a small profile from several places. No single source holds everything. The GST registry gives you a verified identity and address but no phone or email. A company’s own website gives you numbers but needs confirming. The corporate registry gives companies an official email. Your own mailbox and documents give you the people you have dealt with. Knowing which source supplies which field, and how far to trust each, turns a frustrating search into a short checklist.
This guide maps each contact field to its best sources. For every field it explains where to look first, what confirms it, and what to do when the first source is empty. It suits anyone who needs a complete, trustworthy contact record for one business rather than a bulk list.
Each public source was designed for a purpose, and contact details are rarely that purpose. The GST registry exists to identify taxpayers and keeps phone numbers and emails private. The corporate registry exists for company law and shows an official email but usually no phone. Websites exist to win customers and show whatever the business chooses. Your own records exist because you did business together. Combining them is the only way to a complete profile.

Start with the public taxpayer search. It gives you the legal name, trade name, constitution, taxpayer type, status, principal place of business and any additional places of business. These fields are authoritative for identity and registered address: they come from the registration itself and are updated when the business files amendments.
Use the trade name as the business’s everyday name, the legal name on documents, and the addresses as the anchor for checking everything else. Any phone or email you find later should fit these facts.
The best phone source is the business’s own publication: its website, letterhead, invoices or signboard. Next come your own records from past dealings: ledgers, emails and documents. Map listings at the exact GST address are useful, especially for shops and small units. Directory listings come last, because many are created once and never updated.
Confirm any number by checking that a landline’s city code fits the registered address and, ideally, by a short call asking for the business by its trade name.

For companies and LLPs, the corporate registry’s master data shows the email the company filed, which is an official channel. For all businesses, the website’s contact page and the email addresses in correspondence you have received are the most reliable sources. An email domain that matches the website domain is a good sign; a generic webmail address on a large company’s documents is worth questioning.
Search the trade name and the legal name with the city. Confirm the site belongs to the business by finding its GSTIN on the site, or the legal name and registered address. A confirmed website is valuable beyond its own field, because it usually leads to the phone, email and people fields too.
People are the hardest fields and the most valuable. For proprietorships, the legal name in the GST record is the owner. For companies and LLPs, the corporate registry lists directors and designated partners. Beyond owners and directors, the best sources are the people you have dealt with, found in email signatures and documents, and the staff a business chooses to list on its website.
Record each person with their role and the source. People change roles and employers faster than any other field changes, so a date matters most here.

Work through the fields in order: identity and address, website, phone, email, people. Each confirmed field makes the next easier. A confirmed website often gives phone and email at once. A confirmed email domain helps you judge whether a signature belongs to a genuine employee.
Record each field with its source and date. When a colleague opens the profile, they should be able to see at a glance which details are authoritative, which are confirmed and which are leads still to be checked.
Some fields will stay empty for some businesses, and that is acceptable. A small proprietor may have no website or email. Rather than filling the gap with a weak guess, mark it as not found with the date you looked. If the field matters for your purpose, ask the business directly at the next contact; most will share an email or an accounts number on request.
A profile is a snapshot. Recheck the GST status and addresses when you next deal with the business, update fields whenever an email or call shows something new, and remove people who have left. A profile maintained this way stays trustworthy long after the first search.
